How do I Delete an RFP, How Do I Accomplish This?

I have an RFP in my Atlas Inbox that I want to delete. Who can accomplish this? How is it done?

Solution

The answer to how to delete an RFP in your Atlas Inbox will depend on the cost object(s) used in the RFP. This is because in-process RFPs can be deleted by someone who has invoice approval authorization for all cost objects in the request for reimbursement or request for payment.

Verify that the RFP has a cost object

1. SAP uses the cost object to determine which users will have authorization to delete the RFP.
2. If the RFP does not have a cost object, edit the RFP to add a cost object.
   • Open your RFP Inbox, by selecting the Inbox tab on Atlas.
   • Click the RFP number to open the RFP and add a cost object.
3. An RFP will be able to be deleted by:
   • the RFP creator
   • users with INVOICE APPROVAL authorization for all cost objects used in the RFP

If you have Roles authorization for INVOICE APPROVAL for all cost objects in the RFP, or if you are the RFP creator

1. Open your RFP Inbox, by selecting the Inbox tab on Atlas.
2. You should see a checkbox in the far right-hand column, under the garbage can icon.
3. Place a check in the checkbox, then press Delete Selected.

If you do not have INVOICE APPROVAL authorization for all cost objects in an RFP which resides in your RFP Inbox

1. Open your RFP Inbox, by selecting the Inbox tab on Atlas.
2. Click the RFP number to open the RFP.
3. Press Send to.
4. Enter the last name of a staff member in your area who has Invoice Approval for cost objects in the RFP.
5. If the search returns more than one result, select the correct name.
6. Enter a note requesting deletion of the RFP.
7. Press Send.

If none of the above options is viable, you can ask Accounts Payable to delete the RFP, by sending email to accounts-payable@mit.edu.
