Manage Requests

Approve or reject an estimate

For requests that require a cost object, you can request an estimate while creating the request. When you do this, you'll receive an email when Facilities has entered the estimate on the request. You will then need to approve or reject the estimate. Work will not begin until you approve an estimate.

You can access your request right from the email, or go to My Requests to view your request.

  1. Click the plus sign next to the request.
  2. Click the Approve/Reject Estimate button.
  3. Review the details of your request, including the estimate amount and any new information Facilities may have added for you.
  4. At the bottom of your request, click the Approve or Reject button as desired.
  5. A confirmation will appear.

Cancel a request

If you need to cancel a request, you can do so up until the time Facilities begins to work on it. Generally, this means the request must still show a status of "New Request" when you view it in the system. You can access your request from the email confirmation you received when you created it, or go to My Requests.

  1. Click the plus sign next to the request.
  2. Click the Cancel button. Note: If there is no cancel button, your request is not able to be cancelled. If you really do need to cancel it at this point, you should call the Customer Service Center at 617-253-4948.
  3. You will see a warning message, alerting you to the fact that this action cannot be undone. Click OK to proceed.
  4. A confirmation will appear. Your request will no longer be visible in your My Requests.

Reopen a request

If you need to reopen a request that Facilities marked as closed, you can do so from the original request in the system. Locate the request either from the email confirmation you received when it was closed, or by going to My Requests and viewing your Closed requests.

  1. Click the plus sign next to the request.
  2. Click the Reopen button.
  3. You will see the details of your original request. Scroll to the bottom, and enter Comments indicating why this request should be reopened.
  4. After entering your comments, click the Reopen button.
  5. A confirmation will appear showing you have reopened the request, and providing a new request number. Note that this new number will be linked to the original request number, so that Facilities can track the rework.

You will also receive a new email confirmation of this revised request.

Edit a request

After creating a request, you may find it necessary or helpful to enter additional or new information on it. You can do this only if the request still has a status of "New Request" or if Facilities has requested more information from you. You can access your request from the email confirmation you received when it was created, or go to My Requests to view your request.

  1. Click the plus sign next to the request.
  2. Click the Edit button. Note: If there is no edit button, your request is not able to be edited. If you really do need to edit at this point, you should call the Customer Service Center at 617-253-4948.
  3. Go through the same screens as when creating the request, making any changes or adding information as necessary. When you have finished, click Submit on the final page of the request as you did when you originally created it.
  4. A confirmation will appear. You will also receive a new email confirmation of this revised request.
