Settings and Authorizations
You can access Atlas at https://atlas.mit.edu/
The Atlas Settings and Authorizations page can be accessed from the left hand menu on the Atlas homepage, from the Paystubs application, or from the Atlas Kerberos ID header menu on the top right of each page.
Email Notification Settings
Email Notification is an optional service to which you can subscribe at any time. With this service, you can receive email messages notifying you when the status of your SAP documents has changed. For example, you could receive an email when a purchase order is created for your requisition or when your journal voucher is approved. You can subscribe to email event notification for one or more of the following events:
- A requisition is approved, rejected, changed, or needs approval.
- A purchase order is created from your requisition.
- A journal voucher is approved or rejected by VPF.
- A RFP is rejected by Accounts Payable or OSP.
- MIT deposits a reimbursement to your account.
- Current payroll payment is available for review in Atlas.
How Do I Subscribe?
1. Click the check box to the left of the event to receive email notification.
2. Click the Save Changes button.
Note: To deselect, uncheck the box and click the Save Changes button. Your changes will take effect shortly after the 11am and 3pm data feeds.
The email address for these notification settings displays beneath the list. You may change this email address in the Atlas Personal Information application. There is a slight delay before your email address will update to your Settings and Authorizations.
What Happens After I Subscribe?
Shortly after you submit your email notification request, you will begin receiving an email for each requisition line item and journal voucher that you submit for approval.
You will receive another email if the requisition line item or journal voucher is approved/rejected and when the requisition is made into a purchase order. Go into your inbox to review the status, and to change and resubmit the requisition or journal voucher if necessary.
Requisition approvers who have subscribed to the service will receive email notification for requisitions awaiting their approval.
Note: An approver may receive email notification of a requisition awaiting approval and not find the requisition in the workflow inbox. This happens when another approver has already reserved that requisition and taken it out of workflow.
Notes on Payroll Payment Notifications
The email notification settings for reimbursements and payroll payments can also be maintained in the Email Settings section of the Direct Deposit Preferences application. The email notification from the Settings and Authorizations page "Current payroll payment is available for review in Atlas" corresponds to the Direct Deposit Preferences notification "Notify me via email when a salary payment is made." Changes to these settings from within either application will update the other.
Notes on Reimbursement Payment Notifications
Similarly, users who have Bank Transfer as the preferred method for Expense Reimbursements will see that the Settings and Authorizations setting "MIT deposits a travel or RFP reimbursement to my bank account" corresponds to "Notify me via email when a reimbursement payment is made" in Direct Deposit Preferences. Changes to these settings from within either application will update the other. Changing the Expense Reimbursement method from Bank Transfer to Check will eliminate this setting from displaying in both Direct Deposit Preferences and Settings and Authorizations.
